Connecting Your Email to Outlook, Apple Mail and Your Phone

This guide shows you how to set up your mailbox in a mail app such as Outlook, Apple Mail or the mail app on your phone, so your email arrives automatically wherever you are.

IMAP or POP — which should you choose?

Most mail apps will ask whether you want to use IMAP or POP. We recommend IMAP.

  • IMAP keeps your email on the server and stays in sync across all your devices. Read a message on your phone and it shows as read on your laptop too. This is the best choice for almost everyone.
  • POP downloads email to one device and often removes it from the server, so it doesn't stay in sync. Only use POP if you have a specific reason to.

Your email settings

Use these general settings when setting up your mailbox. Your exact server names are in your welcome email and your control panel, so check there if anything doesn't connect.

Incoming mail (IMAP)

  • Server: mail.yourdomain (for example, mail.yourbusiness.com.au)
  • Port: 993
  • Security: SSL/TLS

Outgoing mail (SMTP)

  • Server: mail.yourdomain
  • Port: 465
  • Security: SSL/TLS

Username and password

Outgoing mail requires authentication, so make sure your app is set to use the same username and password for sending as it does for receiving.

Step 1 — Start adding the account

In your mail app, open the option to add a new account. The wording varies by app, but it's usually under Settings or Accounts.

  • Outlook: go to File then Add Account (desktop), or Settings then Add Account in newer and mobile versions.
  • Apple Mail (Mac): go to Mail then Add Account then Other Mail Account.
  • iPhone or iPad: go to Settings then Mail then Accounts then Add Account then Other.
  • Android: open your mail app, then go to Settings then Add account then Other (or IMAP).

Step 2 — Enter your details

  1. Enter your name, your full email address, and your mailbox password.
  2. If the app asks you to choose an account type, select IMAP.

Step 3 — Enter the server settings

If your app doesn't set everything up automatically, enter the incoming and outgoing server details from the settings above. Take care to:

  1. Use mail.yourdomain for both the incoming and outgoing servers.
  2. Set the ports and security exactly as listed (incoming 993 SSL, outgoing 465 SSL).
  3. Enter your full email address as the username in both places.

Step 4 — Finish and test

  1. Save the account.
  2. Send yourself a test email and reply to it to confirm both sending and receiving work.

Next steps

Once it's set up, your email will sync automatically across every device you add it to.
